Role purpose:
A despatch operative has the responsibility of despatching the products for a next day delivery warehouse, distribution centre, customers property or other locations. Their responsibilities are pivotal in maintaining the supply chain flow for stock levels and stock accessibility and supply of products to the engineers supporting customer needs.
Key responsibilities:
- Shipments: Meticulously verifying that all orders are correctly picked, packed, and labelled, and double-checking them against packing lists to confirm their accuracy. Quality control is crucial, with items inspected for any damage or defects before packing.
- Checks: To create and attach correct consignment number labels to packages, ensuring accuracy in shipping addresses and barcodes. This involves double-checking labels for clarity and correctness to prevent any delivery issues. Labels must be generated and attached promptly to keep the workflow smooth and efficient.
- Updates: Maintaining a good operational process for each of the team , Shipments match the delivery address on the work order as well as the label produced for each consignment. Regular checks on emails for a change of delivery or change of location per customer or engineer changes.
- Loading: Load items in a timely and organized manner while ensuring proper handling to prevent damage or injury. Maximizing space utilization within the vehicle is crucial, along with distributing weight evenly to maintain balance and stability during transit. Loading items accurately according to their destination and delivery route helps streamline the unloading process upon arrival. Keeping accurate records of loaded items facilitates inventory management and tracking.
- Packaging: Securely packaging items to prevent damage or breakage. Efficiency is key, as packaging materials should be used wisely to minimize waste and associated costs. Packaging also plays a significant role in representing the company's brand image, with attention to quality and presentation.
- Couriers: Create a courier based location where the products can be separated and loaded to pallets according on the courier being used. Designate a check on the pallets before being moved to make sure no consignments are contaminated on to the incorrect pallet.
- Manifests: Create manifests ensuring that all items are correctly documented for transportation. Compliance with regulations and requirements Verification involves double-checking the manifest against the actual items to confirm accuracy. Accessibility ensures that the manifest is readily available when needed. Communication of important information about the items being transported is facilitated through the manifest. It also serves as a tool for tracking the movement of the product / work Orders
